Position Overview

The Finance and Admin Manager will be responsible for overseeing the financial operations, ensuring compliance with accounting principles, managing project budgets, and providing financial analysis. The role involves maintaining the organization’s financial health and overseeing financial risk management. Additionally, this role includes managing office administration, ensuring smooth day-to-day office operations, and supervising administrative staff. The position requires a strategic thinker with strong organizational and leadership skills.

Key Responsibilities

  1. Financial Management and Reporting
    • Maintain all Accounting modules, including General Ledger, Accounts Payable/Receivable, Purchase Order Process, Fixed Assets Management, Inventory/Stock, and Payroll.
    • Prepare monthly, quarterly, and annual financial statements by collecting, entering, analyzing, and investigating data, identifying variances, and summarizing trends.
    • Review project budgets and grant/contract implementation with respect to:
      • Budget controls.
      • Corporate budget forecasts and re-forecasts.
      • Financial reports and invoices.
      • Profit and Loss (P&L) for Lapis in general and for individual projects.
      • Forecasted and interim P&L accounts for ongoing projects to assist management
        decision-making.
    • Identify and report deviations from projected budgets, sales/expenses, or cash flow, and advise management accordingly.
    • Ensure compliance with Standard Accounting Principles, Systems of Internal Controls, and formulas. Implement Accounting Systems, financial policies, and procedures.
    • Respond to financial inquiries and provide advice by studying operational issues and developing recommendations.
    • Comply with Jordanian Income Tax and Sales Tax filing requirements, advising management on required actions, and assembling data for periodic tax payments.
    • Ensure compliance with Lapis payables, including agreements, AISA licenses, invoices, and withholding taxes.
    • Collect, consolidate, and systematically document financial data for interim and final reports to the Contracting Authority.
    • Coordinate auditors’ requirements (internal, external, project-specific, and government audits).
  2. Program and Grant/Contract Compliance
    • Review financial input submitted by the Program Team during the business development stage.
    • Advise the Program team on grants and contracts compliance requirements.
    • Contribute to the monitoring, and evaluation of contracts/grants for compliance.
    • Act as a liaison between Lapis and the Finance teams for invoicing and collecting from clients.
  3. Administrative and Office Management
    • Maintain company databases of vendors, suppliers, clients, bank accounts, and social security records.
    • Serve as the point person for ensuring all purchases and procurements of goods and services comply with company policies and procedures and liaise with the Legal Compliance team as necessary.
    • Develop and maintain digital and physical filing systems for all office, financial, and legal data, including vouchers and supporting documents.
    • Manage office inventory, supplies, utilities, and vendor services, ensuring timely payments and proper maintenance of equipment and purchase of supplies.
    • Oversee daily office operations, including lease management, equipment maintenance, and support coordination of office space allocations and arranging events.
    • Supervise support staff and ensure office security, safety, and compliance with local laws and regulations.
    • Maintain consultants’ and supplier records.
    • Assist the reporting manager in supervising Lapis’ financial records in AX.

Qualifications:

  • Bachelor’s degree in accounting, business administration or related field. ACCA/CMA qualified.
  • Experience with Jordan tax filing requirements and regulations
  • Minimum four years of finance and accounting experience
  • Experience working with international non-governmental organizations
  • Advanced MS Office, Excel, MS AX dynamics a plus
  • Experience in customer relation management (Sales-Force a plus)
  • Ability to perform intermediate level account analysis
  • Highly organized with excellent Interpersonal skills
  • Experience in preparing reports and written communication
  • Fluency in Arabic and English (written and spoken)
